Everything your team needs to use StaffiX β€” from first install to daily check-ins, leave requests, and manager approvals. StaffiX runs inside Slack and LINE WORKS today (Microsoft Teams coming soon), so there is no separate app to learn.

Getting started

StaffiX is a virtual HR assistant that lives in your team chat. Employees record attendance, take breaks, request leave, and submit daily updates by sending simple messages β€” not by opening another tool. Managers approve leave and review reports from the same chat or the web dashboard.

Most teams are fully set up in about five minutes. After an admin installs StaffiX, invite your team to the bot channel (or allow direct messages), share this guide, and ask everyone to send checkin on their first day. No formal training session is required if your team already uses chat daily.

Install StaffiX in your workspace

A workspace admin installs StaffiX once for the whole organization. Choose the guide for your platform:

  • Slack β€” add from the Slack App Directory or your admin install link. Grant channel access where employees will check in.
  • Microsoft Teams β€” coming soon. Join the waitlist to get notified when the Teams app launches.
  • LINE & LINE WORKS β€” connect via the LINE bot link for Japanese or cross-border teams. Supports bilingual EN/JA workflows.

After install, sign in to the StaffiX dashboard to connect your workspace, configure shift times, leave policies, and invite managers. See Start free trial if you have not created an organization yet.

Tip: Add StaffiX to a dedicated #attendance or #general channel and pin a message with the command list so new hires know what to type.

Command reference

Type these commands in a channel where StaffiX is present, or in a direct message to the bot. Commands are case-insensitive. StaffiX confirms each action instantly in the thread.

Send help anytime for an in-chat reminder. Slash commands may also be available in Slack depending on your workspace configuration.

Attendance & check-in

StaffiX replaces punch clocks and manual timesheets with a single chat message. When you start work, send checkin. StaffiX records the exact time, compares it to your scheduled shift, and flags late arrivals automatically so managers do not need to chase anyone.

At the end of the day, send checkout. Work hours are calculated from check-in to check-out minus any logged breaks. You can check your current state with status.

Best practices

  • Check in when you begin working β€” not when you open your laptop earlier.
  • Always check out at end of day so hours stay accurate for payroll.
  • If you forget, tell your manager; they can adjust records in the dashboard.

Breaks & lunch

When you step away, send break. StaffiX pauses your active work timer. When you return, send back to resume. Break duration is logged automatically β€” no one fills in a timesheet afterward.

Managers see who is currently on break on the live status board. Break rules (paid vs unpaid, maximum length) follow policies set by your admin in the dashboard.

Leave & PTO requests

Request time off in plain language β€” no forms or email threads. Examples: leave tomorrow, sick today, leave Friday, or WFH tomorrow if your organization supports work-from-home as a leave type.

StaffiX notifies your manager. They approve or decline with one tap in chat or the dashboard. Approved leave deducts from your PTO balance automatically. Holiday calendars and accrual rules are configured by your admin β€” employees see remaining balance when requesting leave if enabled.

Daily progress reports

StaffiX can prompt each team member at a set time (for example, 5:00 PM) to share what they accomplished. Reply in the thread or send report followed by your update. StaffiX collects responses and posts a clean team summary β€” async visibility without another standup meeting.

Managers configure prompt timing and channels in the dashboard. Remote and distributed teams use this to stay aligned across time zones.

For managers & HR admins

Managers receive leave approval requests in chat with approve/decline actions. The dashboard shows real-time attendance: who is checked in, on break, on leave, or absent. Filter by team, department, or date range.

Admin setup checklist

  1. Install StaffiX and connect Slack or LINE WORKS (Teams waitlist open).
  2. Import or add employees and assign managers.
  3. Set shift schedules, time zones, and late-arrival rules.
  4. Configure leave types (PTO, sick, WFH) and holiday calendar.
  5. Enable daily report prompts if your team uses async updates.
  6. Share this help page with the team on day one.

Role-based access ensures employees only see their own data while managers see their reports. Super-admins configure organization-wide policies.

Dashboard & exports

Log in at staffix.co/login to open the web dashboard. View attendance logs, leave history, daily reports, and team analytics. Export CSV files for any date range β€” attendance hours, breaks, and approved leave combined for payroll processing.

Exports are designed to reduce month-end reconciliation. Attendance events from chat flow directly into payroll-ready formats for US and Japan compliance settings.

Using StaffiX on Slack & LINE WORKS

Commands and workflows are the same on Slack and LINE WORKS. Your dashboard is unified β€” a team on Slack in the US and a team on LINE WORKS in Japan both appear in one organization view. Microsoft Teams support is coming soon.

Message StaffiX in a shared channel or DM. Optional slash commands may appear when you type / in the message box. Channel summaries can show team status at a glance.

Microsoft Teams

Teams integration is in development. Join the waitlist for launch updates. When live, employees will use the same text commands in team channels.

LINE & LINE WORKS

Ideal for Japanese teams β€” punch in via LINE chat with full Japanese language support. Cross-border companies run US offices on Slack and Japan offices on LINE with one StaffiX dashboard.

Troubleshooting

StaffiX did not respond to my message. What should I do?

Make sure StaffiX is installed in your workspace and you are messaging in an allowed channel or direct message. Try help to see if the bot is reachable. Workspace admins can reconnect the integration from the dashboard if the bot was removed.

I forgot to check out yesterday. Can I fix it?

Contact your manager or HR admin. They can adjust attendance records from the StaffiX dashboard. Employees should send checkout as soon as they remember β€” managers can correct timestamps for prior days.

Can I use StaffiX in Japanese?

Yes. StaffiX supports English and Japanese commands and replies. Japanese teams on LINE or LINE WORKS can use the same workflow with localized messages.

Who can see my attendance and leave data?

Role-based access applies: employees see their own records, managers see their team, and admins see the full organization. See our Security page for encryption and compliance details.

How do I export data for payroll?

Admins and managers with export permissions can download CSV files from the dashboard β€” attendance hours, breaks, and approved leave for any date range. See the Payroll help section or visit the payroll feature page for export formats.
