1. Agreement to terms
These Terms & Conditions (“Terms”) are a binding agreement between you and [LEGAL ENTITY NAME] (“StaffiX,” “we,” “us,” or “our”) governing your use of the StaffiX bot, website, and related services (the “Services”), including when accessed through another platform such as Slack, Microsoft Teams, or LINE.
By installing or using the Services, you agree to these Terms. If you do not agree, do not use the Services. If you are accepting on behalf of an organization, you represent that you have authority to bind that organization.
2. Eligibility
You may use the Services only if you are [16/18] or older, capable of forming a binding contract, and not barred under applicable law. Accounts must be registered by a human; automated registrations are not permitted.
3. The Services
StaffiX provides workforce-automation tools — including attendance tracking, break and leave management, daily reporting, and payroll-related exports — delivered through chat platforms and a web dashboard. We may add, change, or remove features over time. New features are subject to these Terms.
4. Accounts and responsibilities
- You are responsible for the accuracy of the information you provide and for all activity under your account.
- You are responsible for maintaining the confidentiality of your login credentials.
- You agree to configure and use StaffiX in compliance with applicable employment, labor, and privacy laws in your jurisdiction, including obtaining any employee consents required for attendance and payroll processing.
5. Acceptable use
You agree not to:
- Use the Services for any illegal or unauthorized purpose, or violate any law in your jurisdiction.
- Interfere with or disrupt the Services or their infrastructure.
- Attempt to gain unauthorized access to any system or data.
- Reverse engineer, copy, or resell the Services except as permitted by law.
- Upload malicious code or use the Services to infringe others' rights.
We may suspend or terminate accounts that violate these Terms, where appropriate with notice.
6. Fees and payment
- Paid plans are billed in advance according to our current pricing schedule.
- A valid payment method is required for paid plans. Free plans do not require payment details.
- If you upgrade or downgrade, the new rate applies [immediately / at the next billing cycle].
- Fees are exclusive of taxes; you are responsible for applicable taxes, levies, or duties.
- We may change fees with [30] days' notice, reflected on the Pricing page.
7. Refunds and cancellation

8. Free trials

9. Intellectual property

10. Customer data
You retain all rights to the data you and your team submit (“Customer Data”). Our handling of personal data is governed by that policy and, where applicable, a Data Processing Agreement available at [DPA URL].
11. Third-party platforms
The Services integrate with third-party platforms (Slack, Microsoft Teams, LINE, and others). Your use of those platforms is governed by their own terms, and we are not responsible for their availability, security, or practices.
12. Service availability
We work to keep the Services available and reliable but do not guarantee uninterrupted access. We may perform maintenance, and we may modify or discontinue features with reasonable notice where practicable.
13. Disclaimers
The Services are provided “as is” and “as available” without warranties of any kind, express or implied, to the fullest extent permitted by law. We do not warrant that the Services will be error-free, secure, or meet every requirement. StaffiX is a workforce-automation tool and does not provide legal, tax, or HR-compliance advice; you are responsible for ensuring your use complies with applicable laws.
14. Limitation of liability
To the fullest extent permitted by law, [LEGAL ENTITY NAME] will not be liable for any indirect, incidental, special, consequential, or punitive damages, or loss of profits or data. Our total liability for any claim arising out of the Services will not exceed the amount you paid us in the [12] months before the claim.
15. Indemnification
